London Ball Special Events Crew

The Breakthrough T1D London Ball 2025 is a high-profile event raising money to fund research to cure, treat, and prevent type 1 diabetes (T1D). Help us create a magical evening for guests at the Ball and help raise as much money as possible for this vital research.

What will I be doing?

  • Helping us set up the venue before the Ball begins (depending on arrival time for your particular role).
  • Welcoming and checking-in guests when they arrive at the Ball.
  • Selling raffle tickets throughout the evening, using our card machines.
  • Promoting the silent auction to guests and assisting them as needed with the event platform used to register bids.
  • Looking after one or two tables during the dinner and assisting guests with our card machines and the event platform used to register auction bids.
  • Assisting the auctioneer during the live auction by helping to spot any of the guests making a pledge or bid.
  • Managing the raffle prize desk. This includes setting up the table, handing out prizes to winners and taking down the winner’s details.

What skills or experience do I need?

  • Confidence to approach and engage with guests at the event during the Ball.
  • Good organisational skills and adaptable to change – you may be doing different things throughout the evening.
  • Strong interpersonal skills – able to communicate with different people and adapt your approach according to their needs.
  • Confident using new technology.
  • An interest in type 1 diabetes, and Breakthrough T1D and the work that we do.
  • Enthusiasm to represent our charity and our values.
  • Ability to work in the evening in an active role – your step count will be high!
  • Willing to be part of a busy team and help raise funds for T1D research.
  • For this role, you must be aged over 18.

When do you need me?

Date: Thursday 20 November 2025

Time: 5pm to 11pm – please note this time will vary depending on your role.

Where will I be based?

The ballroom at the Sheraton Grand Hotel, Park Lane, London W1J 7BX

What training and support will I receive?

  • We’ll send you a copy of our Volunteer Handbook, which will give you all the information you’ll need to know about volunteering with us. We’ll also ask you to sign and return a copy of our Volunteer Agreement, which sets out what we’ll do to support you, and what we expect from you, during your time volunteering with us.
  • We’ll ask you to complete and return an emergency contact form before you come along to the London .
  • Before the Ball, we’ll send you a volunteer information pack, with important information such as key contact numbers for Breakthrough T1D staff members; timings for the evening; and where to go when you arrive at the venue.
  • We’ll call you a few days before the event to run through your role and answer any questions you have.
  • There’ll be a before the guests start to arrive, and we’ll make sure you have any resources you need to carry out your role during the evening. We’ll give you training on the card machines for selling raffle tickets and the platform we use to register auction bids.
  • We’ll provide for you during the evening.
  • We’ll send you an expense form for you to claim back any out-of-pocket expenses (please see our volunteer expenses policy in the Volunteer Handbook).
